GENERAL DESCRIPTION


Assist the SVP of Community Development with certain administrative tasks such as calendar management, team coordination, and organizing internal/external meetings for the Construction Department. This role also involves conducting research on property options and funding opportunities.

SUMMARY OF ESSENTIAL FUNCTIONS


  • General Administration: Order office supplies, process check requests, complete expense reports, manage Construction Department calendar, update and distribute essential team documents (org charts, onboarding packets, job codes, and budgets). Coordinate team resources (i.e. subscriptions, equipment, etc.), manage team communications from SVP.
  • Meeting and Event Support: Coordinate Community Development internal and external meetings. Schedule meetings, research and reserve space, prepare agendas, order refreshments, take and distribute minutes. Provide in-person events support (elevated volunteer days and special events).
  • Project and Funding Research: Assist with project prospecting, research property and funding availability, and database entry for SVP files and archives.
  • Support Community Development Accounting team with reconciliation and data entry, as directed.

SUMMARY OF JOB QUALIFICATIONS


  • Must be able to successfully pass a drug test, background check authorization and a driving record check.
  • Must have access to reliable transportation to perform job duties, a valid CA Driver’s License, and meet the state required amount of personal automobile liability insurance.
  • At least 2-3 years of administrative or office support experience, preferably in a construction, community development, or nonprofit environment.
  • Ability to manage multiple tasks and prioritize effectively while maintaining attention to detail. Must be able to handle various administrative tasks simultaneously.
  • Excellent written and verbal communication skills, with the ability to interact with all levels of staff and external stakeholders.
  • Experience with planning and supporting meetings, conferences, and events, including managing logistics, preparing materials, and coordinating participants.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software (e.g Microsoft Teams).
  • Works well with others and can coordinate with multiple teams and departments.
  • Comfortable with shifting priorities and managing changing demands.

COMPENSATION


Pay Range: $25.00/hr. - $28.00/hr.​
